Property Manager

We are seeking an energetic Property Manager for our extensive apartment portfolio in the Kansas City Midtown area. Our ideal candidate will have excellent communication and customer service and organizational skills. Responsibilities:

  1.  Ensure that all rents and late fees/check charges are collected, posted and deposited in a timely manner using online remote deposit. Monitor outstanding balances for residents and notice accordingly in line with late and delinquent rent process;
  2. Obtain Construction Transition Document from Construction Manager for completed projects that must be transitioned to the Property Management department and register property in Property Management Software;
  3. Conduct Take Over Transitions (Collecting leases, receiving keys, and managing utilities) for third-party properties, complete Takeover Checklist and register property in Property
    Management Software;
  4. Periodically review rental applications and lease forms for accuracy and compliance with
    established policies and procedures;
  5. Ensures property files and records are maintained and cataloged into Property Management Software;
  6. Monitor outstanding balances for residents and perform evictions, utility cut-offs and notice accordingly in line with late and delinquent rent process;
  7. Ensure that Accounts Payable invoices are coded properly and submitted to the accountant for payment;
  8. Initiate ‘Make-Ready’ process in Property Management Software and update Make-Ready
    Board to indicate property vacancy status’s and scheduled move-outs regularly;
  9. Review and monitor “make ready” list on a weekly basis for timely turnover of vacancies;
  10. Ensure all administrative paperwork is accurate, complete and submitted on a timely basis;
  11. Process all move outs including refunds and charges;
  12. Deal with resident concerns and requests on timely basis to ensure resident satisfaction with management including calls, emails and personal interactions;
  13. Walkthrough of properties monthly to improve overall resident experience with Clemons, by suggesting site and service improvements and/or upgrades;
  14. Ensure distribution of all company or community-issued notices (i.e. renewals, pest control, special projects, bad weather, emergency, etc.);
  15. Ensure that all service requests are recorded and communicated appropriately to
    maintenance;
  16. Ensure all notices to vacate are logged in Property Management Software accurately, an
    determine the cause of the move-out and vacate date and report to Director of Property Management;
  17. Provide back up for leasing staff- answer calls, set appointments and show inventory when necessary;
  18. Alert residents when lease renewal is required, and facilitate renewal process with residents;
  19. Follow-up on completed work orders to ensure resident satisfaction, as schedule allows;
  20. Compiles and submits Property Owner Reports to Property Owners monthly.

District Property Manager

Responsibilities:

  1. Responsible for overseeing all operations related to Property Management and Maintenance;
  2. Ensure all Department policies, procedures and standards are communicated and executed;
  3. Reporting and relationship management with investors and third party associates, including monthly review of budget vs actual;
  4. Cultivates and maintains oversight regarding relationships with suppliers, vendors, and others serving the Company and/or the properties;
  5. Represent the Company in local and national industry related organizations such as apartment associations (AAKC, NAA), real estate associations (IREM) and all other such beneficial memberships;
  6. Conducts site inspections of building interior and exterior as required;
  7. Regularly evaluates market conditions and property comparable, competition and is aware of neighborhood market conditions;
  8. Develops department marketing strategy to ensure that properties are rented to fullest capacity;
  9. Implement marketing strategy and site related marketing plans;
  10. Supervises rent collection in accordance with policies and procedures manual.
  11. Approves and monitors rental rate recommendations for new leases and renewals based on current market information.
  12. Reviews and assists to develop annual property management plan and operating budget.
  13. Quarterly review of budget vs actual for department
  14. Reviews all monthly financial reports.
  15. Approves payments and department expenditure (payroll, invoices, payment of leasing bonuses)
  16. Involved in interview process for department resources, if required;
  17. Assures that all department employees have access to and comply with company policies and procedures;
  18. Review reports on active evictions and delinquent rent payments and ensures that the eviction process is being followed by the Property Manager(s);
  19. Demonstrate ability to understand financial goals and manage asset in owners’ best interest;
  20. Supervise & train leasing personnel, including setting goals and monitoring progress regularly;
  21. Organize and monitor all lease-ups for newly renovated projects;
  22. Annual review of market rentals and agree to new rental rates in line with information about market competition in the area;
  23. Perform bi-annual employee reviews with staff to set expectations for the year and measure performance against set expectations;
  24. Implement training plan with staff and ensure that all staff members are trained in relevant industry specifics and comply with new or existing laws regarding Fair Housing.
